This policy describes how Vantage Closing Pty Ltd, trading as Vantage Closing, ABN 53 701 861 396 (“Vantage Closing”, “we”, “us” or “our”), handles personal information.

2. Information we may collect
Depending on how you interact with Vantage Closing, we may collect:
- Identity and contact information, including your name, job title, email address and phone number
- Business information, including company name, website, location, offer and operating details
- Sales-assessment information, including appointment volume, sales-team information, commercial ranges, CRM platform, lead sources, fulfilment capacity and sales challenges
- Messages, correspondence and records of enquiries
- Sales-call information and recordings where Vantage Closing is engaged to provide or review closing services
- Technical information such as IP address, browser information, security logs and website usage information
- Other information you choose to provide
Do not provide payment-card details or unnecessary sensitive information through the website forms.
3. How we collect information
We may collect information directly from you through forms, assessment calls, emails, meetings, contracts and service delivery. We may also receive relevant information from a business client, its authorised personnel, its CRM or booking system, or service providers used to operate the engagement.
If you provide information about another person, you should be authorised to do so and should take reasonable steps to ensure they understand how their information may be handled.
4. How we may use information
We may use information to:
- Review sales-assessment applications and determine engagement suitability
- Respond to enquiries and communicate with applicants, clients and authorised contacts
- Plan, deliver, manage and improve agreed sales-closing services
- Select, onboard, coach and oversee closers
- Maintain CRM, pipeline and reporting processes where authorised
- Coordinate customer handover and agreed follow-up
- Protect the website, forms, systems, clients and users against misuse
- Maintain required business, legal and financial records
- Comply with lawful obligations and resolve disputes
Application details are used to confirm receipt, assess suitability and follow up on the enquiry. Any future marketing communication will use an appropriate consent and opt-out process.
5. Service providers and disclosure
We may use service providers for website hosting, business email, CRM, appointment booking, video calls, call recording, document storage, analytics, security, professional advice and other operational functions.
The website currently uses OpenAI Sites for hosting and Resend for transactional application emails. We may add other providers as the business evolves, and this policy will be updated when material handling changes.
Information should be disclosed only as reasonably required for the relevant purpose, where authorised by the person or business concerned, or where otherwise permitted or required.
6. Sales-call recordings
Where an engagement includes recording or reviewing sales calls, the client and Vantage Closing should establish the lawful notice, consent, access, use, retention and deletion process that applies to the relevant locations and communication channels.
Recordings may be used for quality assurance, coaching, complaint review, verification and service improvement where authorised. They should not be recorded or used without an appropriate legal basis and required notice.
8. Overseas data handling
Some service providers or authorised personnel may store or access information outside Australia. Where overseas handling occurs, it is limited to what is reasonably required for the relevant service or business purpose.
Vantage Closing takes reasonable steps appropriate to the information and arrangement before allowing overseas handling.
9. Security and retention
Vantage Closing uses administrative, technical and physical safeguards appropriate to the information handled. These may include access controls, encrypted connections, secure credentials, service-provider controls, limited logging and staff or contractor confidentiality obligations.
No internet transmission or storage system can be guaranteed to be completely secure.
Applications, enquiries, CRM data, recordings, reports and security logs are retained only for as long as reasonably required for assessment, service delivery, legal obligations, security or dispute resolution, then deleted or de-identified where practical.
10. Access and correction
You may request access to personal information Vantage Closing holds about you or ask for inaccurate information to be corrected. Contact support@vantageclosing.com and provide enough information for the request to be understood and your identity to be verified.
There may be circumstances in which access cannot be provided. Where appropriate, Vantage Closing should explain the reason.
11. Deletion requests
You may ask Vantage Closing to delete personal information. A request may be subject to legal, contractual, security, record-keeping or dispute-related requirements that justify continued retention. Where deletion is not appropriate, access may instead be restricted where practical.
